Customizing Outbound and Nurturing Messages With AI After burning the midnight oil analyzing your buying personas, the last thing you want is to write dozens of templated texts to reach out to them. AI can help you with both outbound and nurturing messages. The approach and content of these messages differ a bit in B2B and B2C contexts, but the core principles remain the same: capture attention, build relationships, and guide your prospects through the sales funnel. What I can't stress enough is your message must stand out. DO NOT follow the guidelines with thousands of likes you see on the internet. Here's what AI can do: - Create appealing or intriguing subject lines. - Personalize numerous messages at once with names, roles, pains and solutions. - Finds persuasive ways to describe your offer showing how it helps to resolve specific challenges. - Writes clear and captivating CTAs. - Add decent touch of humour. Here's what AI can't do: - Create GOOD messages without examples and a lot of input from your side (remember, it makes average content and average messages are garbage) - Find the right pains, gains, solutions for your audience and your product by itself (you must provide as extensive info on that as you can) Bear in mind that AI’s content is only as good as the instructions you provide. Mention the following in your prompt: - The role and the name of your prospects (or a link to linkedin profile or a document with that data). - The industry and key pain points (a basic document like lean canvas and value proposition canvas will do). - The features of your product or service (if not included in the docs above). - The next step you want the prospect to take. - The tone of messages. - At least 5 examples (the more the better) of good messages the structure of which the AI must follow. - Obligation for the AI not to use phrases like "I hope this email finds you well", "To whom it may concern" and others. - Obligation for the AI to be as concise and as simplistic as possible, no fancy words and praising the product nonsense. Even after that you'll probably have to go through a couple iterations anyway, but at least this way, you can create complete message flows that first introduce your offer and then nudge the recipients toward the decision. Treat AI as a bookworm intern. It knows a lot, but it can't really tell good from bad due to lack of practice. Writing Reports No One Reads Let’s dive deeper into the first one — writing lengthy reports that are often overlooked. Sometimes, so much effort isn’t worth it if the result is skimmed through at best. Sure, the human touch is essential and even irreplaceable for complex documents like medical records, specialized strategies, or detailed financial forecasting. But what about those routine status updates, internal documentation for stable procedures and systems, and regular performance or training overviews? Here's how to create reports with AI: Step 1. Create a detailed outline Start with providing the basic parameters and crafting a detailed plan. What is the topic and purpose of your report, who is it for, and what is its tone? Also, specify the expected length to help AI determine how many sections and subsections to include. Without a well-defined structure, ChatGPT may wander off course during the next steps, offering irrelevant information or making the whole document incoherent. Step 2: Prepare a draft Once you’ve broken down your report into smaller parts, generate them one by one. One token is about 500 words, which is certainly enough for one section, so you can even create up to 50 pages one step at a time. Step 3: Fine-tune your report Take the time to review and refine your report, making sure it’s coherent and logical. You can also ask ChatGPT to clean up formatting and ensure consistency. With the new 4o model you can add charts and fancy stuff but you need to provide the data for it. It will be a mess otherwise. A bonus tip: If you are the one who received a report written just for show, ask AI to summarize it. You can upload a PDF, or a Word document, or paste the text and ask it to outline the key ideas. It works the same way with lengthy video calls, videos, and podcasts, cutting the fluff and getting straight to the point. 8. Generating Content Ideas: If brainstorming feels like beating a dead horse, AI can at least throw out some bizarre ideas to kick things off. 9. Creating Simple SEO Articles: AI handles SEO articles writing. There is a catch though. Google and Bing can't really tell the difference for now. But eventually they might knock on your door with a straight face and "Darling, we need to talk". 10. Proofreading: This one’s straightforward — AI is great at catching grammatical errors in text. 11. Visualizing Designs: Need to align vague ideas with your designer? AI helps visualise concepts, ensuring you and your designer are on the same wavelength, saving both time and sanity. 12. Repackaging Thoughts Into Content: Of course I'm utilising ChatGPT to improve these posts. It does have a cheesy sense of humour, don't blame me on that. Now here is a list of my personal real world application of generative AI in marketing. I'll dive deeper into each of those with examples in the upcoming posts. 1. Writing Reports No One Reads: AI excels at drafting those lengthy reports that turn into digital paperweights. It’s great at fabricating long-winded BS within token limits. I usually draft an outline and ask ChatGPT to generate it section by section, up to 50 pages. 2. Summarizing Reports No One Reads: Need to digest that tedious 50-page report without actually reading it? AI can condense it to a digestible one-pager. It’s also handy for summarizing podcasts, videos, and video calls. 3. Customizing Outbound/Nurturing Messages: AI can tailor your pitches by company or job title, but it’s only as effective as the template you provide. Remember, garbage in, garbage out. Later, I'll share tips on crafting non-garbage ones. 4. Generating Visuals for Banners: AI can whip up visuals faster than a caffeine-fueled art student. The layout though looks like something more than just caffeine was involved. I typically use a Figma template with swappable visuals, perfect for Dall-E creations. 5. AI as Client Support: Using AI for customer support is akin to chatting with a tree — an animated FAQ that only frustrates clients in need of serious help. 6. Creating Templates for Documents: Need a research template or a strategy layout? AI can set these up, letting you focus on filling in the key details. 7. Breaking Down Complex Tasks: Those projects, that you are supposed to break into subtasks, but will to live drains out of you by just looking at them. AI can slice 'em into more manageable parts and actually help you get started. Note: I recommend turning to LLM in all those cases you just can't start. Writing or copypasting text into ChatGPT is the easiest thing you can do besides just procrastinating. But once you've sent the first message, things just start moving.
